Ngawang Tenjing Pinasa – Terms & Conditions

These Terms & Conditions apply to all treks, tours, and climbing activities guided by Ngawang Tenjing Pinasa, a licensed Himalayan trekking guide based in Kathmandu, Nepal. By confirming a trek or tour with Ngawang, you agree to the following terms.

Booking and Payment Policy

  • A non-refundable deposit of 20% of the total trip cost is required to confirm your booking.

  • The remaining balance must be paid upon arrival in Kathmandu, before the trek or tour begins.

  • For trips to Tibet, Bhutan, or India, full payment may be required in advance due to permit and logistical arrangements.

  • Payments can be made via bank transfer, credit card, or cash, and any service charges are the responsibility of the client.

Cancellation and Refund Policy

  • All cancellations must be made in writing via email.

  • Refunds depend on the time of cancellation:

    • More than 30 days before departure: 50% refund (excluding deposit)

    • 15–30 days before departure: 25% refund

    • Less than 15 days before departure: no refund

  • No refund will be issued if a client leaves the trip voluntarily or involuntarily after it has started.

  • Domestic and international flight tickets are non-refundable and non-transferable.

Changes to Itinerary

  • Ngawang reserves the right to modify itineraries due to weather conditions, flight delays, natural disasters, political situations, or health-related issues.

  • Alternative arrangements will be made whenever possible, but Ngawang is not responsible for additional costs caused by such changes.

Travel and Medical Insurance

  • Comprehensive travel and medical insurance is mandatory for all trekkers.

  • Insurance must cover:

    • Medical expenses and personal accidents

    • Emergency helicopter evacuation (for high-altitude treks and climbs)

    • Trip cancellation or interruption

    • Baggage loss or theft

  • Insurance must be obtained in your home country before arriving in Nepal.

Responsibility and Liability

  • Ngawang acts as a guide and service facilitator and is not responsible for events beyond control, such as natural disasters, road blockages, flight cancellations, or political unrest.

  • Clients must follow instructions given by Ngawang or designated trek leaders at all times.

  • Ngawang is not liable for loss, injury, or damage to personal belongings during the trip.

Environmental and Cultural Responsibility

  • Ethical and responsible trekking practices are strictly followed, including Leave No Trace principles.

  • Travelers must respect local culture, traditions, religion, and customs.

  • Responsible waste management, wildlife protection, and cultural sensitivity are expected throughout the journey.

Trekking Policies in Nepal

  • Licensed Guide Requirement: As per Nepal government regulations, foreign trekkers must be accompanied by a licensed guide.

  • TIMS Card: Required for most trekking regions and arranged by Ngawang.

  • Restricted Area Permits: Required for certain regions and obtained through authorized procedures.

  • National Park & Conservation Permits: Entry fees generally range from USD 20–30 and are arranged in advance.

  • Local Municipality Fees: Some regions require additional local entry permits.

  • All trekkers must carry valid permits and follow trekking regulations at all times.

Mountaineering and Peak Climbing Policies

  • All climbers must obtain official climbing permits from the Department of Tourism.

  • Expeditions require a licensed climbing guide (Sirdar) and liaison officer when applicable.

  • Clients must have suitable experience and insurance covering high-altitude rescue.

  • Ngawang reserves the right to refuse participation to anyone deemed medically or physically unfit.

Privacy and Personal Data

  • Personal information is collected only for permit processing, trip management, and emergency purposes.

  • Client data will not be shared with third parties unless required by law.

Acceptance of Terms

By confirming a booking with Ngawang Tenjing Pinasa, you acknowledge that you have read, understood, and agreed to these Terms & Conditions. These policies are designed to ensure safety, transparency, and mutual respect for a successful Himalayan adventure.
